What is the difference between a quotation and an invoice?
A quotation is an offer: it states what you would charge, and nothing is owed against it. An invoice is a demand for payment for work already agreed or delivered. Sending an invoice when you meant to quote is a common and awkward mistake, which is why this document is labelled as a quotation on its face and carries no payment details or QR code.
Why does a quotation need a validity date?
Because without one you have promised a price indefinitely. Costs move, and a client who accepts a six-month-old quote is entitled to hold you to it. Fifteen to thirty days is usual; the tool defaults to fifteen.
Should I show GST on a quotation?
Show it if you are registered, and say whether the prices quoted are inclusive or exclusive of tax. The most common dispute over a quotation is not the price but whether tax was on top of it.
Is a signed quotation a contract?
Often, yes. A quotation that is accepted in writing on its stated terms can form a binding contract, which is exactly why the acceptance block exists. If the work is substantial, follow it with a purchase order or a proper agreement.
